Summary

The IT Coordinator, under the general supervision of the Senior Director of Operations and IT, plays a key role in delivering excellent customer service to team members by providing timely and solution-oriented support for IT help desk requests. This role operates in an entirely Appled-based environment, supporting an organization where all staff use Apple devices and software alongside Microsoft 365 software tools. This position emphasizes building strong relationships with team members and vendors to ensure responsive, collaborative, and effective technology support. The IT Coordinator oversees equipment tracking and distribution, manages inventory in alignment with lease and renewal schedules, and coordinates IT support vendor services. Additional responsibilities include supporting equipment and software upgrades, escalating complex IT help desk issues, and conducting training to empower staff and improve efficiency in using technology.

Solution-Oriented Customer Service: Provide premier customer service for Experience Scottsdale team members from initial outreach to solution implementation, serving as the main contact for IT help desk requests. Coordinate solutions with third-party IT vendors to ensure timely resolution of issues, including advanced troubleshooting and vendor coordination. Collaborate with internal departments to assess technology needs and recommend solutions for efficiency and productivity.

Inventory Management: Oversee and coordinate equipment distribution, shipping, and inventory management in coordination with lease expiration and renewal schedules. Maintain accurate IT asset records, including tracking hardware, software licenses, and warranty information. Facilitate enterprise learning subscriptions and manage other SaaS subscription accounts. Execute activities as assigned regarding facilities improvement projects, equipment upgrades, and CRM or other IT upgrades.

Vendor Relationships: Manage vendor contract performance and act as the primary point of contact for IT help desk vendors. Interface with all IT-related vendors and monitor ongoing vendor communications to determine relevant updates and necessary communications to assist staff with forthcoming changes.

IT Systems & Policies: Ensure compliance with organizational cybersecurity policies, including monitoring system security and coordinating with vendors to address vulnerabilities. Manage user account provisioning, permissions, and deactivation in alignment with organizational protocols. Support integration of the Apple ecosystem with Microsoft 365. Monitor system performance and proactively address potential disruptions to minimize downtime. Support disaster recovery and business continuity planning, including backups and system recovery testing. Review and document IT procedures, workflows, and best practices to ensure consistency and knowledge transfer. Stay informed about emerging technologies and make recommendations for system or process improvements.

Training: Craft instructional resources to assist team members in using and understanding technology. Conduct in-person ad hoc and scheduled periodic training for staff on IT topics such as Outlook, Microsoft suite products, and CRM usage.

Required:

  • Strong troubleshooting and problem-solving skills for IT-related issues.
  • Experience supporting an Apple-based environment, including MacBooks, iPhones, iPads, and related hardware, software, and accessories.
  • Knowledge of the Microsoft 365 suite of products in a Mac environment, CRM systems, and equipment lifecycle management.

Preferred:

  • Familiarity with vendor coordination and IT project support.
  • Ability to organize and track equipment lease and renewal schedules.

Education & Experience

High school diploma or equivalent is required; a relevant IT technical certification or a bachelor’s degree in a related field is preferred. Minimum of two years of hands-on experience supporting Apple devices and software, as well as two years of experience in vendor management or facilities coordination. An equivalent combination of education, training and experience that demonstrates the required knowledge, skills, and abilities also will be considered.


Work Environment & Physical Demands

This job operates in an office setting. This role routinely uses standard office equipment and requires prolonged periods of sitting at a desk and working on a computer.


While Experience Scottsdale offers a hybrid work environment, this position will require consistent office hours and flexibility to be at the office to meet the demands of the job.


The position includes frequent physical demand and requires constant sitting and handling, with frequent standing, walking, and outward reaching. Occasional activities include bending, squatting, kneeling, crawling, and reaching above shoulder level. The role also requires the ability to occasionally lift, carry, push, or pull objects weighing up to 50 pounds.

 

Position Type & Expected Hours of Work

This is a full-time, non-exempt, hourly position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occassional evening and weekend work may be required as job duties demand.
