Development Office Assistant

Position OverviewWe’re seeking a highly organized and detail-oriented Development Office Assistant to support our growing development team. This role is ideal for someone with strong CRM experience, excellent communication skills, and a passion for donor engagement. 

 

Location: Hybrid (Monday – Friday, 9–5 PM) Childsplay Theatre 900 S Mitchell Dr, Tempe, AZ 85281 
Salary: $40,000 + benefits 
Schedule: Hybrid, with some evening/weekend work required for special events 

 

Responsibilities include: 

Providing direct support to the Director of Individual Giving – 75% 

  • Administrative & Data Management 

  • Managing Individual Donor records in Patron Manager. 

  • Update and maintain donor records in Patron Manager (contact info, ticker buyer data, etc.) 

  • Running reports from Patron Manager. 

  • Pull Donation summaries, campaign progress, donor lists, etc. 

  • Communications & Stewardship 

  • Coordinate Annual Fund mailings, including preparing letters and sending them to the mail house. 

  • Drafting and sending donor thank-you letters. 

  • Making thank you calls to donors. 

  • 50 Year Anniversary Campaign Support 

  • Providing clerical and administrative support. 

  • Preparing Materials, assisting with campaign mailings, attending campaign events, and updating campaign portfolio in Asana & Patron Manager. 

  • Additional support as needed. 

 

Providing direct support to the Director of Institutional Giving – 20% 

    • Corporate and Donor Research & Engagement 

    • Assisting with corporate donor acquisition and stewardship, including outreach, cultivation, and ongoing relationship support. 

    • Managing Corporate and Institutional records in Patron Manger   

    • Entering documents, deadlines and donor/grant related information to maintain accurate and up-to-date files. 

 

Providing direct support to the Events Manager – 5% 

  • Provide light clerical support for events. 

  • More specific assistance during event days. 

Work Environment / Physical Demands: 

  • Physical demands are in line with a modern office environment.  Reasonable accommodation may be made to enable individuals with disabilities to perform essential functions.   

  • Regular on-site attendance is required.  Must be available to work evening and weekend events.  

  • The ability to independently travel to the Tempe office and the Herberger Theater Center as well as other sites in and around the Phoenix metro area are required. 

  • Some meetings and events may occur outside of the usual workday and on weekends and evenings. 

  • Additional Duties may be required to fulfill the goals and mission of the organization and will be assigned by the Managing Director. 

Qualifications 

  • Experience with CRM data management (Salesforce, Asana, or similar). 

  • Clerical experience. 

  • Great communication skills. 

  • Must be passionate and be able to wear many hats. 

  • Strong organizational and communication skills. 

  • Ability to balance multiple priorities and deadlines. 

  • Enthusiasm for fundraising, relationship building, and donor stewardship.
